A clear wholesale balloon list connects the design brief to the actual products you need. Organize the order by brand, manufacturer color code, size, finish and package quantity. Keep the quantity of balloons you plan to use separate from the quantity of packages you need to buy.
Build the list from the installation
Start with the approved palette and the formats you are creating: garlands, columns, a backdrop or individual bouquets. For each product, record the intended role, such as the main color, supporting shade or small accent. This makes the list easier to adjust if the design changes.
A useful ordering sheet has columns for brand, product code, color, size, finish, balloons needed, balloons per pack, packs on hand and packs to purchase. Add the event date so you can separate confirmed jobs from general replenishment.
Check color codes and finishes
Use the manufacturer's product identifier alongside the color name. Similar names from different ranges do not establish that products are interchangeable. Compare physical samples when an exact visual match is important, and check the combination under lighting similar to the venue.
Record any approved substitutions before ordering. A change to a main color can affect the whole composition; an accent substitution may be easier to assess separately.
Calculate packs without mixing units
Use the pack quantity stated on the product listing. For example, if a design needs 240 balloons and the confirmed package contains 100, the base purchase is three packs before considering usable stock on hand or any allowance you choose for the job. This is an arithmetic example, not a statement about the pack size of a specific product.
Subtract usable stock carefully. An unopened pack and a partly used bag should not both be counted as full packs. Keep reserved materials for other confirmed events separate from available supplies.

- Delivery timing and any substitutions to confirm.
Check the manufacturer's specifications for the intended use of each product, including whether it is suitable for the inflation method you plan to use.
