Start with the design scope
Describe the number of installations and their locations. A backdrop, entrance columns and a separate dessert-table feature are three different parts of a brief, even when they share a palette. Reference photos help show your preferences, but room photos and dimensions help determine how those ideas can fit the actual venue.

Identify structures and personalized elements
Ask the proposal to distinguish balloon decor from backdrop panels, frames, pedestals, event letters and custom wording. Confirm which items are rented and which are intended to remain with you. If you are supplying a cake stand, sign or backdrop, include a photo and its dimensions rather than assuming it will fit the arrangement.
For branded work, share the logo file and the final wording. For a private celebration, confirm names, spelling and the age or occasion before personalized elements are prepared.
Include the venue logistics
Delivery distance is only part of the installation plan. Unloading access, stairs, elevators, the distance to the setup location and the time available all matter. A proposal based on an open room with flexible access may need to change if access is restricted to a short window.
Ask whether installation, collection and removal are included. Confirm any venue requirements directly with the property and share them with the decorator.
